Our AI Products are designed for document intelligence, natural language querying, automated reporting, and workflow automation for business clients.

We will only keep your personal information for as long as it is necessary for the purposes set out in this Privacy Notice, unless a longer retention period is required or permitted by law (such as tax, accounting, or other legal requirements). No purpose in this notice will require us keeping your personal information for longer than 1 year.

When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymize such information, or securely store it and isolate it from any further processing until deletion is possible.

7. How Do We Keep Your Information Safe?

We have implemented appropriate and reasonable technical and organizational security measures designed to protect the security of any personal information we process. These measures include: Google Workspace Business with a signed HIPAA Business Associate Agreement, two-factor authentication enforced for all accounts, encrypted data transmission via TLS, restricted access controls limiting data access to authorized personnel only, disabled external sharing and third-party application access, and audit logging across all systems.

However, despite our safeguards and efforts to secure your information, no electronic transmission over the Internet or information storage technology can be guaranteed to be 100% secure, so we cannot promise or guarantee that hackers, cybercriminals, or other unauthorized third parties will not be able to defeat our security and improperly collect, access, steal, or modify your information.

8. Do We Collect Information From Minors?

We do not knowingly collect, solicit data from, or market to children under 18 years of age. By using the Services, you represent that you are at least 18. If we learn that personal information from users less than 18 years of age has been collected, we will deactivate the account and take reasonable measures to promptly delete such data from our records. 10. Controls for Do-Not-Track Features

Most web browsers and some mobile operating systems and mobile applications include a Do-Not-Track ("DNT") feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. At this stage, no uniform technology standard for recognizing and implementing DNT signals has been finalized. As such, we do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online.

12. Client Data Processing

Atlas Intelligence Solutions processes client business data solely under the terms of executed client agreements, including Master Service Agreements, Data Processing Agreements, and where applicable, HIPAA Business Associate Agreements. Client data processed through our AI systems is never used to train, fine-tune, or improve any artificial intelligence model. All client data is processed in confidential, isolated environments on a per-client basis with no cross-client data access. Client data is permanently deleted within 30 days of contract termination unless otherwise required by law or agreed upon in writing.

13. AI Subprocessors and Data Security

Atlas Intelligence Solutions utilizes the following subprocessors to deliver our AI-powered services: Google Workspace (Google LLC), which is covered under a signed HIPAA Business Associate Agreement; and Amazon Web Services (AWS), including Amazon Bedrock, which is covered under a signed AWS Business Associate Addendum. All subprocessors are contractually bound to maintain the confidentiality and security of any data processed on our behalf. No client data is transmitted to any AI model provider for retention, training, or any purpose beyond real-time processing and response generation. Client data does not persist within any subprocessor system beyond the scope of active service delivery.

We may update this Privacy Notice from time to time. The updated version will be indicated by an updated "Last updated" date at the top of this Privacy Notice. If we make material changes to this Privacy Notice, we may notify you either by prominently posting a notice of such changes or by directly sending you a notification. We encourage you to review this Privacy Notice frequently to be informed of how we are protecting your information.
